How to size a banquet hall for your guest list
The 12-sq-ft-per-guest rule, dance-floor maths, and why pillarless floors change everything.
The most common planning mistake we see is booking by headcount alone. Here is the quick arithmetic our coordinators use.
The 12 sq ft rule
A seated dinner with a dance floor needs roughly 12–14 sq ft per guest. A standing cocktail evening fits into 8. Start from your final guest count, not your invite list — the two differ by 15–20% almost every time.
Leave room for the party
- Dance floor: budget 4–5 sq ft per dancer; assume a third of younger guests dance.
- Buffet lines: add 100 sq ft per 100 guests, or go live-counter to spread the crowd.
- Photo corner, gift table, bar: another 200–300 sq ft combined.
